What is Zapier?
Zapier is a web-based automation service. You build a 'Zap' by picking a trigger (for example, a new form entry or a new video upload) and then one or more actions that should follow in other apps, such as posting to Slack, adding a row to a sheet or sending an email. Zapier keeps checking for the trigger and runs the actions for you. Around this core it now offers Tables for storing data, Forms for collecting it, Canvas for mapping workflows, and AI Agents and Chatbots.
Zapier's edge is breadth and simplicity. It says it connects to more than 9,000 apps with over 66,000 triggers and actions, so most popular tools are already there with no coding needed. It also mixes fixed steps with AI only where needed, and Zapier MCP lets AI assistants like Claude, ChatGPT and Cursor use your connected apps. Compared with developer-focused tools like n8n, Zapier trades some flexibility and cost control for a gentler learning curve.
Zapier key features
Zaps (no-code workflows)
Set a trigger in one app and automatic actions in others. Paid plans unlock multi-step Zaps with branching paths, filters and delays.
9,000+ app integrations
Zapier lists over 9,000 apps and 66,000+ triggers and actions. This means you rarely have to wait for a custom integration to be built.
AI steps and Copilot
You can describe a workflow in plain words and have Copilot help build it, and add AI fields or AI steps that summarise, sort or write text inside a Zap.
Zapier Agents
AI assistants that can browse the web, use live data and act in your apps for set tasks. There is a free Agents plan with 400 activities a month.
Chatbots
Build simple AI chatbots trained on your own knowledge sources and share them by link or embed them on a website on paid chatbot plans.
Tables and Forms
Built-in database tables and forms that work directly with your Zaps. Steps that only use these built-in tools do not count against your task limit.
Zapier MCP
Connects AI tools such as Claude, ChatGPT and Cursor to your Zapier apps so they can take real actions. Each MCP tool call uses 2 tasks.
Team and admin controls
The Team plan adds shared Zaps, shared app connections, folders and SAML single sign-on. Enterprise adds advanced permissions, app restrictions and observability.
Who uses Zapier, and how
When a new video goes live, automatically post the link to other channels, log it in a spreadsheet and notify your community chat.
Send each new order to your accounting app, add the customer to your email list and alert your team in Slack.
Turn a filled-in enquiry form into a CRM lead, a calendar booking link email and a task in your project tool.
Save emails, form replies or saved articles into a single Zapier Table or Notion page so study material stays in one place.
Use a Zapier Chatbot to answer common questions on your site and route harder ones into a helpdesk ticket.

Free vs paid: what you really get
Free plan
- 100 tasks per month, with only two-step Zaps (one trigger, one action)
- Zaps check for new data every 15 minutes, so automations are not instant
- Single user only, email support only
- Tables, Forms and Copilot included, but with small limits (2,500 table records, 10 form pages)
Paid plans add
- Professional adds multi-step Zaps, premium apps, webhooks, AI fields and 2-minute checking
- Higher task tiers, up to 2 million tasks a month, with lower cost per task as you go up
- Team adds up to 25 users, shared Zaps and connections, SAML SSO and 1-minute checking
- Bigger Tables and Forms limits and larger file uploads
- Enterprise adds unlimited users, admin controls, annual task limits and a technical account manager option
Which plan should you pick?
You want to test automation or only need a few simple two-step Zaps that do not need to run instantly.
You are a solo creator or freelancer who needs multi-step workflows, premium apps or webhooks.
Several people (up to 25) need to share Zaps and app connections and you want SSO.
A larger company needs unlimited users, admin and app controls, and help from Zapier's sales team.
Ways to save on Zapier
- Paying yearly instead of monthly saves 33%, according to the pricing page.
- Nonprofits can get 15% off any paid plan (pay-per-task charges are not discounted).
- New accounts get a 14-day Professional trial with no credit card needed.
- Steps that use built-in tools like Filter, Formatter, Paths, Delay, Tables and Forms do not count as tasks, so designing Zaps around them lowers usage.
- Turn off pay-per-task billing if you would rather have Zaps pause at your limit than pay the higher overage rate.

Zapier compared with alternatives
Zapier vs n8n
n8n charges per whole workflow run rather than per action and can be self-hosted for free, so it is cheaper for heavy use. Pick Zapier if you want the simplest setup and the most ready-made app connections; pick n8n if you are technical and want control.
Zapier vs Make
Make offers a visual canvas for more complex branching workflows and is often chosen by people who want more logic per scenario. Zapier is usually easier for first-timers and has a bigger app list.
Zapier in India
Zapier can bill in Indian rupees (INR), converted at the exchange rate when you pay, but the product and help centre are English-only.
Good to know
- Free plan has only two-step Zaps and 100 tasks per month
- Going over your task limit switches to pay-per-task billing at a higher rate unless you turn it off
- Free and Professional plans are single-user
Zapier FAQ
Is Zapier free?
100 tasks per month, unlimited two-step Zaps, 15-minute checking interval, single user
How much does Zapier cost?
Paid plans start from $19.99/month. Prices in USD as shown on the official pricing page. Agents and Chatbots have their own separate plans. India prices may differ.
Who makes Zapier?
Zapier is made by Zapier.
Who is Zapier for?
Non-developers and small teams who want to automate tasks between everyday apps
What counts as a task in Zapier?
A task is counted each time an action step in a Zap runs successfully. Triggers, failed steps and built-in tools like Filter, Formatter, Paths, Delay, Tables and Forms do not count.
What happens if I run out of Zapier tasks?
By default Zapier switches on pay-per-task billing at a higher rate so your Zaps keep running. If you turn that off, your Zaps pause until your next billing period, and Zapier emails you as you near the limit.
Does Zapier use my data to train AI?
Zapier says Enterprise customers are opted out of model training on their content by default. Other customers can opt out at any time using a form on Zapier's legal page, and Zapier says its AI providers are barred by contract from training on customer data.
Can I pay for Zapier in Indian rupees?
Yes. Zapier's help centre lists INR among the 19 currencies it can charge in. The amount can change slightly between bills because it is converted at the exchange rate on the day you pay.
Is Zapier available in Hindi or other languages?
No. Zapier's help centre says the product is only available in English and suggests using a browser translation extension.
Zapier vs n8n: which is better for beginners?
Zapier is generally easier for beginners because it is fully hosted and has more ready-made connections. n8n is more flexible and can be cheaper at volume, but setting it up, especially self-hosted, needs more technical skill.
